Digital solution helps boost teaching, clinical care, research

Three goals, one solution

The modern medical school has to do three things exceptionally well: train future doctors, deliver life-saving clinical care, and make the discoveries and innovations that will enable people to live longer and healthier lives. Just imagine all the programs and plans that have to be in place to address each of those missions.

Now, imagine a single solution that contributes to all three goals. The School of Medicine at the University of Pittsburgh has imagined—and adopted—such a solution. It reduces the administrative burden on faculty so they have more time to devote to teaching, clinical care, and research—and also boosts faculty and student satisfaction. And it’s built on Nintex.

The school’s solution is a revolutionary overhaul of its faculty evaluation process that has delivered 100% compliance on evaluations for the first time; made that process faster, simpler, and less expensive to implement; and expanded transparency and established automated reporting and auditing.

Who they are

The University of Pittsburgh School of Medicine consistently ranks among the top medical schools in the nation, as well as in the top 20 for federal grant and contract support.

What they need

The school needed to replace a manual, paper-based faculty evaluation system that provided no easy way to track forms, conduct audits, or glean data insights from the evaluations.

How they did it

The school used Nintex Workflow, Nintex Forms, and Nintex Sign® powered by Adobe Sign to create a sophisticated, automated evaluation process that works with the SharePoint software the school already uses.

Sophisticated—and simple

The previous system required a full-time employee to manage 2,000 annual evaluations captured on 10-page paper forms, provided no way to track incomplete and missing forms, no overall audit process, and no data insights into trends arising from the evaluations.

The new digital evaluation process leveraging Nintex Workflow, Nintex Forms and Nintex Sign® powered by Adobe Sign corrects all these issues. It requires no manual management so the FTE can be redeployed to higher-value tasks while faculty members save most of the hundreds of thousands of hours they typically spend each year on evaluations. The solution guides evaluators to complete the forms fully and accurately and identifies where forms are stalled in process. Its audit capability provides insights into evaluation trends that can be used to expand or revise training programs, and eliminates the need for manual audit certification, a time-consuming process.

Because we’ve digitized and automated our evaluation process, we can aggregate and analyze data to understand not just the individual evaluation, but how we’re performing as an institution.
