Busy Bees Asia enrolls Nintex for process automation

Supporting a digital workplace

Busy Bees IT team in Asia understands the importance of managing processes. The childcare and early education provider, part of the global Busy Bees Group, has been steadily growing since the organization’s expansion to Asia in 2014.

The company’s IT provisioning is one of the most important processes that the company’s IT team manages – ensuring employees have access to the technology they need to do their jobs. The organization’s 2,000 employees include teachers and educators, as well as support and administration staff. Depending on role and location, each employee requires varying technology to fulfill their job. As Busy Bees Asia continues to grow in the region, so has the demand for technology tools. The organization needed more powerful and comprehensive solutions to help it scale its digital workplace solutions.

With guidance from SRKK Consulting, Busy Bees Asia evaluated Nintex Process Platform and realized its user-friendly interface and responsive forms could provide the solution they needed.

Who they are

Busy Bees is a global leading early education provider in nine countries. In Asia, Busy Bees operates schools with locations across Singapore, Malaysia and Vietnam.

What they need

The team in Busy Bees Asia worked with a manual IT provisioning process which is inefficient for its growing business. The organization needed an automated solution to standardize and improve processes across over 80 locations in the region.

How they did it

Using Nintex Workflow and Nintex Forms, Busy Bees is able to automate its provisioning requirements to save time, reduce errors and ensure new employees have access to tools they need on day one of starting work.

The end-to-end process is now automated using Nintex Forms and Nintex Workflow. When an existing or new employee needs licensing, an online form is completed by the user, manager, or HR. The request is sent to applicable stakeholders to approve, and once approved Nintex creates user accounts and assigns the license/s. There is now visibility into status across the entire process, so stakeholders know when tasks are completed or when there’s a bottleneck.

This solution also ensures that new employees have access to everything they need to do their jobs on day one. Busy Bees has eliminated human error and improved the speed of this process down to just three business days. Nintex also keeps things moving – if the request is waiting for approval, the workflow will send reminders to stakeholders until its complete.

The same process is also used when people change roles or leave the company. HR completes another online form, sets the departure or change date, and the Nintex workflow will disable the account based on the submission from HR.

One of the main challenges we needed to address was scalability as we continue to grow across the region – it is an imperative condition for this process and others we choose to adopt. Once Nintex was introduced, we knew we had a solution to the issue at hand.
