With a staff ranging from 300-500 depending on the time of year, Villa Maria had outgrown its existing business systems. Despite being New Zealand’s most-awarded wine company, many procedures lagged behind. Processes were scattered across Word documents on a network drive, and mainly based around ISO 9001 requirements. Additionally, more than 3,000 procedures and their corresponding documents were stored in hard copy manuals. These outdated, manual systems created problems for Villa Maria, making it difficult to find, maintain and update processes.

Villa Maria staff also found it hard to identify who was responsible for processes. The company’s practices compounded the process ownership problems, since every process passed through the quality manager for signoff. This inefficient work style created bottlenecks, and posed risks to the company. It has helped throughout Villa Maria, from transitioning to a new health and safety advisor to standardizing sales processes across geographies.

Compliance is a critical issue for food and beverage exporters, and Nintex Process Manager enables Villa Maria to document information that assists in more than 16 annual audits. The company added its ISO manuals to the software, and all five labs consolidated old paper documents with Nintex Process Manager. Even auditors have noticed Villa Maria’s strides forward in process management.
