Premier Oil Vietnam employs up to 100 contractors and vendors in its offshore operations. It is important that these engineers, line workers, painters, and divers can access Premier Oil documents related to their job functions wherever they are.

Premier Oil knew there was room to improve their slow and unnecessarily complex document management processes. They also needed to secure proprietary information since many workers were employed by vendor and contracting firms. They contracted IT partner Appvity to overhaul the existing system.

Premier Oil needed to reduce the complexity and inefficiency of their existing document management process while improving document security.

How they did it

Nintex Advanced Workflow and Modern Forms for SharePoint automate the generation of request forms, documents, document numbers, notifications, approvals, and tracking. The Nintex mobile app gives remote workers access to job-related documents from their mobile devices.

Document permissions give Premier Oil greater control

Appvity tapped into Nintex Advanced Workflow for Sharepoint. Mobile forms customized for Premier Oil allow remote workers to access the information they need from their mobile devices, while establishing document-level security to protect proprietary information.

The new system now automatically generates document tracking numbers, which improves filing, retrieval, and document control. The new workflow allows managers to check where a document is in any given process, and who has accessed a specific version.

“In the past, simple approvals often took two business days, now the same outcome rarely takes more than a couple of hours,” says Binh Nguyen, Technical Program Manager, Appvity.
