After experiencing population growth and increasing tourism and development, the Port Stephens region saw more pressure on all aspects of the local government. Port Stephens Council adopted the Australian Business Excellence Framework (ABEF), a system that helps organizations sustain high levels of performance and improve different aspects of business. But the council’s existing Visio software was unable to support the scale required for ABEF, and couldn’t provide a complete approach to systematic process management. As a result, Port Stephens Council was unable to map, capture and record processes effectively.

Port Stephens Council chose Nintex Process Manager to document processes and support business sustainability. The business process management software was a perfect fit due to its robust integration with the council’s IT systems and the ability to map processes end-to-end across the organization. The organization began phasing in Process Manager with the goal of working smarter and improving efficiency through streamlined workflows.

With an emphasis on extensive training and ownership at every level, the council began implementing the visual and easy-to-use technology and communicating that effective process management meant a new way of operating. Now, Port Stephens Council has hundreds of active users on Process Manager, and includes process improvement as a mandatory discussion in every meeting.

Since implementing the process management technology, Port Stephens Council has mapped more than 1,300 processes and reviews processes monthly. Group reporting improved accountability, and increased process visibility helps staff to easily identify and follow the correct process. The organization’s streamlined operations have resulted in annual time efficiency savings of AU$6,500, and AU$28,600 in reviewing and modifying processes. The process improvements have been noticeable, as Port Stephens Council was recognized as the employer of choice at the annual Career Development Association of Australia awards.
