Change orders processed in a week instead of months

Digital workflow powers faster document sharing and management

Arizona Electric Power Cooperative Inc. (AEPCO) provides power to more than 147,000 electric power meters and 350,000 co-op members in Arizona, California and New Mexico.

The cooperative managed engineering drawings using a cumbersome, manual change order process. When AEPCO engineers needed drawing changes, they’d print out the PDFs, mark the drawings in pen, make note of the changes, and mail the drawings to the designers. A designer would then study the change order requests, make the changes in the original documents and enter those drawings into the system.

It could take months for these changes to make it into the system, resulting in many issues, including version control problems. Engineers could never be entirely certain if a drawing on the cooperative’s SharePoint was the most up-to-date version. AEPCO needed to replace these manual processes with an automated solution that provided accuracy and speed.

Who they are

AEPCO. provides power to more than 147,000 electric power meters and 350,000 co-op members in Arizona, California and New Mexico through six "Class A" member distribution cooperatives.

What they needed

AEPCO needed to replace their manual, paper-based change order processes with an automated solution that provided accuracy and speed.

How they did it

AEPCO has enhanced version control, improved accuracy, and quicker turnaround for their customers with Advanced Workflow for SharePoint together with document generation capabilities.

Process improvements yield 95 percent time-savings

With Nintex for SharePoint, AEPCO has now digitally transformed their change order processes. Instead of printing drawings and making mark ups to mail to clients, drawings are marked up digitally and shared immediately with their clients. Since the process is now automated, final drawing changes take days, rather than months

Saving drawings and indexing records into their digital records center on SharePoint ensures better version control and fewer errors. Better document control and transparency into the change order process results in better risk mitigation and improved customer satisfaction. At any time, customers and engineers can audit and review changes.

The Nintex Platform for SharePoint powers fast, accurate change requests for Arizona Electric.

Nintex has transformed our change order process from slow and manual, to quick and accurate. I’m a big advocate of Nintex. It fits very well with the model of SharePoint.
