Yamaha strikes all the right notes with Nintex DocGen® for Salesforce

Yamaha reduces the time it takes to create contracts from weeks to minutes

Success can create challenges for any business. Yamaha is one of the world’s leading suppliers of musical instruments and audio equipment to students, professional musicians, and recording artists. Business growth has resulted in different divisions for the company’s diverse product and distribution.

Each division has a unique set of legal agreements that dictate how its products can be marketed and sold. In turn, every division sells to retailers that have dozens or even hundreds of store locations or dealers. Manually creating and managing the various documents required to manage these relationships was time consuming and resource intensive.

Yamaha employees are power-users of Salesforce and DocuSign. Any workflow automation solution had to take full advantage of the features of both systems and integrate directly into established workflows to minimize training and onboarding efforts. After evaluating other solutions, Mike Machado—CRM Manager for Yamaha of America—determined that Nintex DocGen® for Salesforce (formerly Drawloop®) was ideal.

Who they are

Established in 1960, the Yamaha Corporation of America (YCA), offers a full line of musical instruments and audio/visual products. YCA is a wholly owned subsidiary of Yamaha Corporation in Japan.

What they needed

To fuel its growth, Yamaha’s music and audio sales division needed to transform its contract generation and management process from manual and time consuming to digital and streamlined.

How they did it

Yamaha turned to Nintex DocGen® for Salesforce (formerly Drawloop®) to manage the entire contract creation and management process. DocGen® automatically merges Salesforce data into contracts and sends a single package of documents to retailers and dealers for digital signature, reducing quote to cash cycles by weeks or months.

Nintex DocGen® automates complex contract processes

Yamaha first tackled its credit application process. Nintex DocGen® generates a single document package that includes the credit app and other supporting documents. Because the document package dynamically pulls data directly from Salesforce, several fields on the credit app are pre-populated with required information. The effort to complete the application is now reduced to filling in a few fields and electronically signing—eliminating friction and improving customer turnaround times.

Nintex DocGen® for Salesforce also helped Yamaha automate one of its biggest headaches—the generation, assembly, and distribution of master dealer agreements (MDAs).

Prior to Nintex DocGen®, the MDA process was highly manual and complex because of the number of documents that had to be generated and customized. With DocGen®, Yamaha created a single document package that contained a customized cover letter, corporate MDA, legal exhibits between each division and dealer, and multiple distribution agreements authorizing individual retail locations to sell Yamaha products.

According to Mike Machado, “Nintex DocGen® provided the functionality to complete our entire document process without ever leaving Salesforce.”

Quicker quote to cash—that’s music to Yamaha’s ears.

Prior to Nintex DocGen®, it took corporate and our divisions weeks, even months, to prepare and send legal agreements to our retail partners. Now, the user literally has to push a button in Salesforce and within minutes, the entire envelope is generated.
