EG A/S “future proofs” its company with Nintex

EG’s journey with Nintex began eight years ago when the company sought a better way to manage the onboarding and offboarding of employees. The manual process of onboarding required a flurry of emails between line managers, human resources, and IT to authorize employee accounts, assign computers, phones, network resources, and more. Offboarding required the return or reassignment of those assets in a prompt and secure way that protected the company and its network.

The process was time-consuming and threatened to become more so as EG’s workforce continued to grow through acquisition and organic growth. Perhaps worse, there was no way to track the status of the myriad requests and resource allocations; were email requests answered—and answered correctly? EG managers didn’t always know.

Now, they do. EG replaced this “manual mess” with a digital process based on Nintex Workflow and Nintex Forms.

Who they are

EG develops and delivers industry-specific software on subscription terms to more than 20,000 public and private customers. It has more than 1,400 employees in Denmark, Norway, Sweden, and Poland.

What they need

The company wanted to change the manual process for onboarding and offboarding employees—which involved flurries of emails and an inability to track the status of requests.

How they did it

EG adopted Nintex Workflow and Nintex Forms to automate and streamline the process. Later, it adopted Nintex DocGen® to similarly makeover the time-consuming process of creating incentive-agreement documents for its sales professionals.

Replacing a “manual mess”

EG A/S uses 20 automated workflows to onboard/offboard employees and edit/update employee accounts when employees transfer within the company, are promoted, or change their personal information, such as their addresses.

The process begins with a Nintex Form that managers use to request assets and resource access for their new hires. A Nintex workflow then automatically creates an account for the new hire in Azure Active Directory, which EG maintains as part of its hybrid environment. Automated workflows also configure the employee’s Office 365 access, assign Skype and Teams accounts, and assign and activate the employee’s phone number. Nintex Workflow and Nintex Forms manage the employee offboarding process, as well.
The company’s finance department is also using Nintex DocGen® to produce and track incentive agreements with its sales professionals, saving hundreds of hours of manual labor each year.

EG’s adoption of Nintex has been such a success, the company is planning to use it together with Salesforce to address manual steps in the handover between its sales and delivery organizations, speeding the delivery process and boosting customer satisfaction. Thanks to Nintex’s reliability and flexibility, the company is is looking to expand its use in recruitment-to-hiring processes.
