About the role:

Provide outstanding administrative support, contributing to the overall success of the Nintex KL Office. This role may be privy to company sensitive information; therefore, confidentiality is an important pillar of this role. 

Your contribution will be:  

Be the “Face” of the Business:

  • Greet and assist guests and new hires to ensure a warm and professional experience.
  • Maintain cleanliness and order in general work areas and meeting rooms
  • Provide day-to-day support to our hybrid-first workforce.
  • Work onsite in the KL office at least four days per week.
  • Track and maintain office-related task lists to ensure seamless operations.
  • Assist the Workplace Experience (WXP) Coordinator in supporting events and cultural initiatives in Singapore and Thailand.
  • Liaise with vendors and internal teams to follow up on pending tasks.
  • Keep office records, reports, and submissions well-organized and up to date.
  • Manage food and beverage orders and restocking for Malaysia, Singapore, and Thailand offices.
  • Maintain and update office operations records using tools such as Excel, SharePoint, PowerPoint, and OneDrive.
  • Prepare basic reports related to office operations and expenses as required.

Support Workplace Experience & Culture:

  • Assist in planning and executing team engagement activities, including setup and cleanup.
  • Support initiatives that foster a positive workplace experience and company culture.
  • Assist with relocating the team to a new office space, including supporting the decommissioning of the old office, onboarding new vendors, and setting up the new space.
  • Ensure office safety standards are met, including managing supplies such as first aid kits.
  • Provide general administrative support to the wider office team as needed.
  • Support onboarding of new hires, including office tours and staff introductions, serving as a backup to the WXP Coordinator.

To be successful, we think you need:  

  • 1 to 2 years of experience in an office environment, preferably in a workplace experience or facilities role.
  • CFM (Certified Facility Manager) certification is a plus, but not required.
  • A university degree is a plus, but not required.
  • Strong verbal and written communication skills in English.
