Nintex creates external file-sharing option for employees

Nintex offered much-needed transparency as to what information was being shared and with whom. Standardized communications processes keep information from getting lost in email. Schoppe says this allows decisions to be made much faster. In addition to an easier and more intuitive user design, Schoppe took advantage of Nintex’s user-friendly forms, especially appreciating their dynamic content abilities.

When STIEBEL ELTRON needs to share information with an external customer, an employee can request a temporary file-share using a Nintex Form. The form initiates a Nintex workflow that automatically creates an internet-accessible folder in STIEBEL ELTRON’s site collection library, as well as an Active Directory (AD), account for the external customer, which sends the customer a message with necessary credentials. The Nintex workflow assigns permissions allowing only internal employees and the external customer to share content from big data to video. After a pre-defined timeslot, the content is archived automatically and the external user’s account is deleted.

The status of each workflow is visible at all times, offering “perfect usability.” Schoppe says the company is seeing “immense” savings of up to 50 percent through replacing paper-based processes with Nintex. “Introducing Nintex resulted in a big advantage in terms of a high degree of transparency in the processes,” he says.
