State Library NSW improves their digitization project with Nintex

Thanks to Nintex Workflow Cloud, Australian library improves their digitization project for millions of heritage materials.

In 2012, the State Library of New South Wales (NSW) first began its long-term project to digitize the Library’s massive collection of historic materials for online viewing. When the workflow solution they were using reached end-of-life in 2017, the digitization project team needed to find a new workflow automation platform quickly.

The State Library of NSW adopted Nintex Workflow Cloud as their new workflow automation software solution. The Library worked with Nintex Partner Antares to design, develop, and implement the new solution. In just four months, State Library NSW had a new workflow solution in place that vastly exceeded the capabilities of its previous platform.

Who they are

The State Library of NSW is the oldest library in Australia. It collects and preserves significant heritage items and makes them available to the general public.

What they need

The Library has a large collection of heritage materials including books, manuscripts, and images. As part of a long-term program to digitize collection material for accessibility, they needed an effective workflow platform to project manage the people, processes, and technological aspects of the program.

How they did it

The Library worked with Nintex Partner Antares to design a comprehensive digitization workflow system based on Nintex Workflow Cloud, to integrate the workflow stages, catalog systems, and streamline the way in which the digitization process is carried out.

A holistic workflow solution

State Library of NSW previously used workflow tool “TeamTrack” to log and track items as they moved through the process. It served its purpose, but over the course of the program’s first 5 years the requirements grew, and its functionality could no longer serve their needs.

“We were particularly keen to have a location and device-independent solution that could serve as a one-stop-shop for all digitization related information needs. The solution also needed to fully align with Library’s IT security policies and include auditing and reporting capabilities,” shares Raqib Sabur, Digitization Project Lead, State Library NSW.

The Library’s workflow evaluation led them to Nintex Workflow Cloud. With the new Nintex solution in place, the Library’s digitization team has discovered significant benefits including improved data accuracy, a 70% increase in productivity, and the ability to support and improve the workflow solution as their needs evolve. With the help of Antares and Nintex Workflow Cloud, State Library NSW is confident that they now have a workflow management platform in place that will support their digitization efforts well into the future.

Thanks to the improvements delivered by the Nintex Workflow Cloud-powered solution, we are now saving the equivalent of three fulltime staff members each year. This has been possible because of significant functional improvements and batch processing capabilities of the solution.
