Framework Housing Association frees up 70 days annually with Nintex RPA

The homeless charity uses automation to create more impactful fundraising campaigns and improve the management of charitable donations.

Framework is a small charity with a big heart. Every year it supports more than 18,000 people from across the Midlands in the UK, who are either rough sleeping or at risk of becoming homeless. The charity aims to raise £3 million in five years to help it build 200 new houses and extend its support services, through a campaign called Building Better Futures.

To achieve this ambitious target, however, employees knew that they needed to focus more time on communicating with supporters and organizing fundraising events and spend less time on repetitive manual tasks.

Management consultancy Deloitte stepped in to help and, through a pro bono project, created a custom robot solution for the charity, using Nintex RPA.

Who they are

Framework is a charity delivering housing, health, employment, support, and care services to people with a diverse range of needs across the East Midlands in Derbyshire, Lincolnshire, North Lincolnshire, North East Lincolnshire, Nottinghamshire, and in Sheffield.

What they need

Framework employees knew that they needed to focus more time on communicating with supporters and organizing fundraising events and spend less time on repetitive manual tasks.

How they did it

A fully automated data analysis workflow was created with Nintex RPA. Referred to internally as simply ‘the bot’, it takes just 20-30 minutes to run weekly and analyses over 32,000 records relating to donations received, direct mail campaigns, regular supporters, and fundraising events.

Significant time savings from automation

Framework used to spend a lot of time using the charity’s customer relationship management (CRM) system and Excel spreadsheets to manually evaluate which campaigns, emails, and letters were most successful in encouraging people to make a donation or sign up to take part in a fundraising event. Even then, it wasn’t easy to see the success rate of individual communications as opposed to averages.

Now, Framework has trained Nintex RPA to recognize unique emails and letters, each of which has a separate code within the CRM system. Consequently, the bot delivers precise figures each week for the percentage of recipients that signed up for an event or made a donation on receipt of an email or letter.

If eight slightly different versions of an email are sent out to different audiences, Framework can see which specific email worked best and feed this insight back to the communications team, so that it can maximize the impact of future communications.

Nintex RPA has taken away or simplified many routine tasks, so I can now spend more of my time engaging with donors and running campaigns to help raise the money that is so urgently needed to support rough sleepers.
