Digital transformation of regulatory compliance increases speed, transparency

Every five years, Australian principals and school administrators must complete a full compliance audit to maintain registration. The workload associated with responding to this audit put significant pressure on staff, administrators, and principals.

Not only was it time consuming to manually fill out spreadsheets and email them to the education office, but compliance requirements were also ambiguous and often interpreted differently. Catholic Education Diocese of Parramatta (CEDP) sought a solution to reduce staff stress levels, save time, and improve accuracy.

CEDPs goal was to transform from an occasional site audit approach to automation and tracking of “24×7” compliance. Who they are

Catholic Education Diocese of Paramatta is a non-profit organization comprised of 78 Catholic schools (56 primary and 22 secondary) and four early learning centers. The Diocese has a student population of around 43,000, and 4,500 staff.

What they needed

Across its 78 schools, CEDP needed to streamline the education-compliance audit conducted every five years, and an annual self-monitoring process.

How they did it

IT partner Devworkz created an automated compliance management solution called 247Checklist. 247 Checklist is based on Microsoft SharePoint 2013, Nintex Advanced Workflow, and integrates proprietary technologies Appbuilder and Uihiro.

Nintex Advanced Workflow for SharePoint helps CEDP pass compliance audits with flying colors

CEDP called on technology partner Devworkz to create an automated compliance management solution to fit their needs. After considering other systems, Devworkz selected Nintex for its ease of use, ability to handle multiple complex workflows, and its deep integration with SharePoint.

Devworkz first updated CEDP’s existing Microsoft SharePoint system. They then developed an automated solution called 247Checklist using Advanced Workflow for SharePoint.

Advanced Workflow eliminated the repetitive work of collecting and maintaining compliance evidence. Staff now have better reporting options to pinpoint problem areas with accurate, measurable data on compliance status across all categories.
