Administrative processes accelerated saving £205,000 annually

An organization that delivers administrative and healthcare services on behalf of hospitals and healthcare providers in the United Kingdom is using K2 Software to significantly improve the efficiency of its administrative processes. It has reduced the time required for one key process by 73% and expects to achieve cost savings of over £200,000 ($255,000 USD) when all its planned processes are automated.

Who they are

North of England Commissioning Support (NECS) delivers administrative and healthcare services on behalf of hospitals and healthcare providers in the UK.

What they needed

NECS wanted to accelerate many outdated administrative processes, many of which were heavily reliant on paperwork.

How they did it

NECS developed workflows for employee travel and estimates users save 17 minutes each time they use them.

Delivering patient-centric services

Challenge: Automating paper-based processes

Hospitals, clinical commissioning groups, and GP practices are among the many NHS organizations that outsource services to NECS. To help deliver highly efficient, patient-centric services for these partners, NECS wanted to automate many administrative processes, many of which were largely paper-based.

The organization conducted thorough evaluations of several workflow solutions before selecting the Nintex K2 Five. NECS found that Nintex K2 Five was far less expensive than other solutions it considered and as Nintex K2 Five was already approved on the UK Government’s G-Cloud Framework, they could acquire it easily without a protracted procurement process.

Solution: An improved customer experience

NECS implemented K2 Software with some initial support and training from a services partner. It then set about transforming some of its most paper-intensive processes, while helping its 1,100 employees to adjust to new ways of working with automated workflows. Right from the outset, NECS realized significant efficiency gains from its use of the workflow platform. For example, NECS developed two straightforward workflows for booking rail travel and hotel accommodation and estimates users save 17 minutes on average each time they make a request using one of these workflows.

Following on from these successes, NECS is now developing additional process automation using Nintex K2 Five, including solutions for Serious Incident Root Cause Analysis, Proposal Management, and other support functions.

We have, on average, 2,500 rail and hotel booking requests a year from employees. So, taking into account average salaries, we estimate we’re saving £45,000 a year on two process automations alone.
