Workflow Wonders with New Belgium Brewing Company

Workflow Wonders returned for “Season 2” on August 11. Tye Eyden, Business Systems Analyst at New Belgium Brewing Company, joined me to discuss how Nintex continues to be a part of New Belgium Brewing’s digital transformation journey.

Nintex at New Belgium Brewing

New Belgium Brewing has been leveraging Nintex software to support their digital transformation efforts since 2012. The company has leveraged Nintex for SharePoint (on-premise), for Office 365 and Nintex Workflow Cloud – taking advantage of new and enhanced features over the years.

As Tye shares, “we use it on-prem and in the cloud, for solutions within a department and throughout the company. The more our people experience Nintex, the more they come to us to propose new ways to use it.”

The company has transformed several processes with Nintex:

  • Volunteer program

During the webinar Tye took us through two of the company’s recent Nintex solutions, which support New Belgium Brewing’s business as well as culture.

Supporting their business

The first solution Tye discussed is the company’s sales incentive program which supports the launch of its new hard seltzer product, Fruit Smash. To drive momentum and energy around Fruit Smash, New Belgium Brewing implemented a regional weekly sales incentive program to encourage its distributer sales representatives (DSR) to create and restock Fruit Smash displays at stores in their region.

Supporting the entire incentive program is a Nintex solution leveraging Nintex Workflow Cloud, Nintex for Office 365 and even Microsoft PowerApps. Like many solutions – it all starts with a form.

  • New Belgium’s DSRs complete a Nintex Form and submit a picture of the display they’ve stocked/restocked.
  • Nintex Workflow Cloud records the submission in SharePoint.
  • Once added to SharePoint, a Nintex for Office 365 workflow matches with additional distributor and/or sales data.
  • The workflow combines the metadata with the image into a SharePoint library.
  • Lastly, submissions are added to a verification app leveraging Microsoft PowerApps for the company’s internal team to review and verify the incentive images submitted.

Tye was able to build the initial proof of concept in just a few hours, and then gather the remaining business requirements to build the complete solution.  The result delivered an easy and user-friendly experience for both New Belgium’s DSRs and internal sales team.

Supporting their culture

Giving back and supporting the local communities is also core to the culture of New Belgium Brewing. The company’s volunteer program appropriately dubbed “The Beer Scouts” are New Belgium coworkers who are passionate about social, environmental and culture change. The company offers its employees one hour of paid time off for every two hours of volunteer work (up to 40 hours annually).

Using Nintex Forms and Nintex Workflow, Tye built a solution that makes it easy for New Belgium coworkers to submit their volunteer hours, receive their additional PTO, and track the company’s community impact.

The solution starts with two Nintex Forms – one for an individual submitting their own hours, and one for someone submitting hours on behalf of a group of coworkers. Once submitted Nintex Workflow handles the rest of the process: approving volunteer hours, notifying payroll when to add PTO, notifying coworkers when they’ve maxed out and, lastly, reporting.

The volunteer reporting data is fed into a Power BI dashboard which provides visibility into the Beer Scouts’ impact including the communities and causes they’re supporting. In 2019, New Belgium coworkers volunteered 4,851  hours – an estimated $123,000 worth of community impact!
