Workflow Wonders featuring TLC for Kids

Our first Workflow Wonder for December 2020 is TLC for Kids, an Australian charity focused on helping sick children and their families. The not-for-profit organization works with healthcare professionals from over 400 hospitals in Australia and five hospitals in New Zealand, offering services such as distraction boxes, Rapid TLC program, and the TLC Ambulance.

Too much time spent on manual, administrative tasks

Each request for assistance requires confirmation letters for both the healthcare professional who lodged the request and the child and their family requiring the service. Tim Conolan AM, Founder and CEO of TLC for Kids, shared that this used to be a manual process by copying important information from their Salesforce system into Google Docs templates.

This increased risk of human error, particularly when dealing with sensitive patient information. It would also take the TLC for Kids team a long time to process these requests, and impacted their ability to support more families.

TLC for Kids + Nintex

Tim recognized that his team needed a solution to help them work through their backlog and support more children, particularly as the charity was planning to launch a new service at the time, the TLC Ambulance. Tim looked to technology to solve these challenges, and a key requirement is that the solution had to be easily integrated with its existing Salesforce system.

TLC for Kids chose Nintex Drawloop DocGen® for Salesforce because the team determined it could be implemented very quickly and have a working solution up and running in no time. In less than a day, they were able to recreate their existing templates in Nintex Drawloop, with the relevant queries and fields to pull the necessary information directly from Salesforce. After extensive testing, the solution was live within two months.

With just a few clicks, the documents are automatically created as PDFs, which were all fully customized to suit the specific services that TLC for Kids offers. In addition, these letters are emailed to the relevant parties from within Salesforce, significantly reducing the time spent on generating these communications.

Used over a million times each year!

The time saving from automating their document creation process has been significant. It would normally take staff about 15 minutes to generate a letter, which has now been reduced to less than 30 seconds. This all adds up when you consider that TLC for Kids’ services are used over a million times each year!

“Nintex Drawloop is more than just generating a couple of letters; it’s now become a crucial part of our services,” said Tim during our webinar. “I don’t want to sound like an infomercial but the amount of time that has been saved has become immeasurable, and the time that you’ve given us is a valuable thing to give back to even more kids and focus on helping kids.”

Next steps for TLC for Kids

Tim highlighted that Nintex has been so easy for the team to use that it’s been utilized organization-wide by all staff across the services team, call center operators, and even volunteers at TLC for Kids. He’s seen really strong engagement from all team members and it has “outperformed what we wanted to do”.

TLC for Kids plans to further extend their use of Nintex Drawloop DocGen. It is already being used to process requests for the TLC Ambulance, while work is underway right now to migrate their donor management system into Salesforce. Once completed, it will be integrated with Nintex Drawloop to produce annual receipts, thank-you letters, and regular communications with their donors. Tim sees this as being a crucial component of improving ongoing donor engagement and supporting the campaigns that the TLC for Kids team wants to execute in the years to come.

A December to Remember
