Customer Spotlight: Firehouse Subs

As the clock’s hand reaches noon, your stomach begins to rumble and growl. It’s time for lunch. But what are you in the mood for? You don’t want something too heavy to leave you feeling full and groggy for your afternoon meetings, but something tasty and nutritious.

Firehouse Subs is a fast-casual restaurant chain that was founded by brothers and former firefighters The restaurant chain consistently ranks number one among fast-casual brands in the categories of food quality, friendly service, and taste and flavor.

A costly and manual process

As a franchise-based business, Firehouse Subs processes numerous documents, including franchise agreements, deposit and application agreements, and more that require signature The company’s signature process for franchise agreements was also complicated. Franchise owners printed paper agreements and then tabbed where each signatory was to sign and then would ship the agreement. Once received, signatories only signed the receipt page and then had to wait until the seven-day disclosure period had passed before signing the agreement.

It was a complicated, long, and error-prone process – and costly due to shipping requirements.

Creating an efficient and compliant process

The restaurant chain needed an eSignature solution to streamline and digitize its signature processes. Nintex AssureSign®’s advanced features, such as workflow templates, Send To Nintex AssureSign® application, and delayed signing which accommodated the FTC mandatory disclosure period for franchise agreements had everything Firehouse Subs needed.

Since implementing Nintex AssureSign® eSignature software, the company’s document authorization process has become easy and efficient:

  • Documents are imported into Send To Nintex AssureSign®.
  • Templates are applied and sent to the recipients, who are only able to sign the receipt immediately. Thanks to the delayed signing feature, they are unable to access the rest of the document until the specified number of days has passed.
  • Recipients are notified that they may access the document and complete signing.

The signed document automatically continues along the workflow through Firehouse Subs’ internal signers until complete. Once completed, all parties receive a copy of the document.

“I cannot say enough about Nintex AssureSign®’s client services team in terms of intelligence, helpfulness, and patience. They have taken a great deal of time to aid us in setting up our processes as well as all of the workflow and document templates.”

– Shelly Walsh, Franchise Account Manager, Firehouse Subs

The new improved document signing process with Nintex AssureSign® is simple and has eliminated opportunities for errors, as well as the possibility of the disclosure period not being adhered to.

Additionally, Firehouse Subs is saving significant money on shipping costs and requirements The company also plans to begin sending franchise agreements via Nintex AssureSign® internationally.
