How the food & beverage industry is maintaining high standards with process automation

In the hospitality sector, your most high-value processes require continual oversight to maintain strict internal and external standards.

That’s why many businesses in the Food & Beverage industry are employing process automation tools as their biggest ally to optimize service quality.

We’ve rounded up some five-star examples how businesses are putting the focus back on consumers through process improvements.

23.4K hours saved annually in paperwork review

With more than 1,700 businesses, Mitchells & Butlers is the U.K.’s largest operator of managed restaurants and pubs, but, their manual and paper-based processes had been slowing down their retail business managers.

Mitchells & Butlers’ retail business managers spend between 30 and 60 hours every three months reviewing safety paperwork for each restaurant.

To address all the deficiencies, it had with its paper-based system, Mitchells & Butlers developed a solution using Nintex Mobile and Nintex Forms for Office 365. Putting the solution in the cloud enabled the company to avoid the need to build and maintain an on-premises infrastructure.

Since realizing the capabilities of Nintex Workflow and Nintex Forms, the company is able to centralize reporting and enhance communications throughout the company. With the implementation of Nintex, retail business managers are no longer buried beneath mounds of paperwork—saving approximately 23,400 hours a year.

Beyond merely automating or digitizing its paper forms, Mitchells & Butlers took advantage of Nintex Forms’ functionality to create forms that are more visual, more intuitive, and faster and easier to use.

If we find we need to modify a form, I can do that and distribute it to our 1,700 establishments in an hour. That’s phenomenal.”

Ian Cutler, Safety Assurance Manager, Mitchells & Butlers

Managers love the solution’s capabilities and have redirected their newfound freedom to improving guest relations and kitchen operations.

Automating over 300 processes every month

Berglandmilch struggled with transparency into their highly regulated processes and s reliance on paper forms.

As the largest dairy group in Austria, Berglandmilch processes over one billion pints of milk a year and 1,500 different dairy products. Packaging these products is highly regulated – and every change requires checks in forensic detail to ensure compliance with national and international food labeling laws.

With oversight from five internal departments, as well as several external suppliers, Berglandmilch is using Nintex K2 Software to transform this highly complex, paper-based process.

Leveraging Nintex K2 Five, Berglandmilch created an automated workflow for packaging changes that integrates with its existing SAP system and Microsoft applications to create a seamless business process.

Thanks to the solution, the company is automating 300 packaging processes per month. With two hours saved per packaging change, and 3,600 changes per year, Berglandmilch estimates savings of 7,200 hours a year through process automation.

The European Union is constantly introducing new legislation, but Berglandmilch now has a proven process that will enable it to sustain high volumes of packaging changes, with complete confidence.

“The process is so much clearer than before. Consequently, there is less likelihood of mistakes occurring in packaging, which could cost the business a lot of money.”

Using eSignature to eliminate shipping and labor costs

Founded by former firefighters and brothers, Firehouse Subs is a U.S.-based restaurant chain with over 1,200 restaurants in more than 46 states that are utilizing Nintex AssureSign® to reduce costs and simplify processes.

Firehouse Subs’ existing process for franchise agreements and other related documents was completely manual, prone to errors, and required extensive follow-up to comply with FTC requirements. In 2014 alone, there were 158 franchise agreements executed for Firehouse Subs restaurants.

To tackle this costly process, Firehouse Subs implemented Nintex AssureSign®. Now, Firehouse Subs’ document authorization process has become easy and efficient – documents are imported, templates are applied, and sent to the recipients who are only able to sign the receipt immediately.

By leveraging Nintex AssureSign®, Firehouse Subs is saving on shipping and labor costs, eliminating opportunities for errors, and has simplified the document signing process for franchise partners.

I cannot say enough about Nintex AssureSign®’s client services team in terms of intelligence, helpfulness, and patience. They have taken a great deal of time to aid us in setting up our processes as well as all of the workflow and document templates.”

Shelly Walsh, Franchise Account Manager, Firehouse Subs
