Effective and Efficient Regulatory Compliance: Naylor Love and Fremantle Ports

Compliance in the digital business age requires significant effort on the part of organizations in both the private and public sectors.

To effectively navigate the ever-evolving web of laws, rules, and regulations, government organizations and companies in heavily regulated industries require effective technology investments. Paperless content management and process automation technologies ease the administrative requirements of compliance with all levels of government.

Workflow and content automation (WCA) solutions, including the Nintex Workflow Platform, are designed to empower all businesses to transform the way work gets done and to achieve consistency and predictable results out of every process.

Ease of administration, consistent and efficient processes, and the ability to monitor processes as each progresses brings an enormous value to all companies with regulatory or legal compliance requirements.

Let’s look at two examples:

Naylor Love, a commercial construction management company with six offices throughout New Zealand, and the Fremantle Port Authority, a government trading enterprise in Western Australia, both have turned to Nintex to successfully automate regulated business processes.

Naylor Love Improves Safety and Compliance

Naylor Love has more than 100 years of experience delivering construction services to a wide range of market sectors in New Zealand.

Subject to the stringent requirements of the Health and Safety at Work Act 2015 and committed to all aspects of health and safety, Naylor Love needed a solution for site workers to report detailed safety hazard reports and automatically deliver the reports to managers for immediate action, even on remote jobsites.

Naylor Love worked with Nintex partner Provoke Solutions and devised a digital health and safety form that anyone could use from their mobile device, even if Wi-Fi connectivity was scarce.

Nintex Workflow for Office 365, Nintex Forms for Office 365 and Nintex Mobile integrated with Microsoft Office 365 deployment and ensured that all reports are delivered to the appropriate manager for timely action.  The solution used Nintex Workflow for Office 365 to ensure all reports are delivered to the appropriate manager for action.

By leveraging Microsoft Power BI, managers can access dashboards with real-time aggregated and trend data.

Lee Harris, Systems Administrator for Naylor Love, has seen immediate benefits:

“Thanks to the Nintex Workflow Platform, we’re getting more information and more accurate information on hazards than ever. We can spot trends faster with real-time information from across the country being logged and analyzed quicker than normal paper-based systems, so we can send our people home safely at the end of the day.”

Australian Port Authority Meets Complex Project and Compliance Needs

In 2015-2016, the total port trade of the Fremantle Port Authority was approximately 34.91 million mass tonnes, with a value of more than $26.1 billion.

As a Western Australian Government-owned trading enterprise that facilitates trade through the State’s largest general cargo port, Fremantle Ports needed to improve their management of complex and data-heavy projects. Technology partner Diversus helped Fremantle Ports use the Nintex platform to digitize manual processes, streamline compliance activities, and optimize project development.

Specifically, Nintex Workflow for SharePoint 2013 and Nintex Forms for SharePoint 2013 provided immense value to Fremantle Ports on capital projects with long ramp up or lead times.

The easy adoption of Nintex allowed Fremantle Ports to ensure that projects were managed efficiently and any changes required by regulatory shifts were easily implemented. Diversus used forms and workflows to turn 14 critical manual processes into one automated digital project approval process.

Because of the extended timeline of the project, the organization also needed to be able to easily adapt to changes in laws and regulations.

Without approvals from a variety of regulators, project timelines and the overall success of the project would have been in jeopardy.

Fremantle Ports’ Change Facilitator Alison Coventry highlights the critical benefit to nearly every project:

“With the addition of the Nintex Workflow Platform to our existing system, we meet our complex project development, justification, and compliance needs with a solution that brings the right people and all the right information together in one place.”
