Customer Spotlight: iNova Pharmaceuticals

iNova Pharmaceuticals distributes a wide range of market-leading, branded prescription medicines, and non-prescription healthcare products across Asia, Australia, New Zealand, and Africa. The company has an aggressive growth target and constantly seeks to continue expanding its brands and its geographic reach.

When the company’s ownership changed 2017, executives turned their focus to workflow automation to support their goals for expansion. iNova needed an effective way to handle business processes that required workflows across multiple departments and country locations. After evaluating several workflow solutions, they selected Nintex for its intuitive interface, high functionality, and potential to add great value to the company’s processes.

Solving vendor onboarding challenges

The first process iNova decided to tackle was vendor onboarding first. Before Nintex, their existing process was decentralized and managed through email threads and a variety of SharePoint folders.

We would have to chase down people for approvals and documentation,” shares Sam Cumming, Senior Project Manager at iNova. “The work was always completed, but significant time was wasted on manually intensive processes. Our technology team needed to support a growing business with the same resources. Nintex was crucial.”

To improve, iNova created a new vendor request workflow using Nintex Workflow Cloud and Nintex Forms. The workflow starts with the iNova employee completing a digital form that specifies the vendor, estimated business, legal compliance, and documentation. Once submitted, the form is automatically routed to appropriate approvers in the finance, legal, accounts payable, and procurement. With this Nintex solution, iNova managers always know the status of the workflow and where there may be a delay – the workflow even sends automated reminders to approvals to ensure a timely review. As a result, the vendor onboarding process is approximately 30% faster than the previous process.

More than an implementation partner

Onboarding vendors was just the first of many business processes that iNova wanted to automate and scale. To support the ongoing automation efforts, Cumming and his colleagues worked with Nintex Partner Antares, part of the Cloud Collective. The goal of the partnership with Antares was not just to produce a single solution, but to collaborate closely on several solutions, during which iNova personnel could gain the expertise to develop their own workflows for complex, transnational processes.

When word spread about the success of the vendor onboarding workflow, managers, and executives from across the company asked if Cumming and his colleagues could use Nintex to help them, too. That led to a recruitment workflow for HR, a third-party due diligence workflow for the legal department, and capitalization workflow for the finance department.
